Policies and Procedures

  • Accounting

    Rent is due on the first day of each month unless otherwise specified in the lease agreement. As a courtesy, a monthly statement is sent and includes all outstanding charges. Unpaid obligations, such as rent, are subject to late charges if not paid within the terms of the lease agreement.

  • Tenant Insurance

    Tenants are required to maintain, at all times, a policy of insurance for occupancy of the leased premises. For required insurance amounts, refer to your lease agreement or contact the Management Office at 952-921-2050.

    The Tenant should deliver duly authorized certificates of insurance to the Management Office prior to occupying any part of the leased premises. The Property Owner and Owner Representative must be named on the insurance certificate without restriction under the liability policies. The tenant is responsible for providing satisfactory evidence of renewal at least 30 days prior to expiration of the respective insurance policies. Please refer to your lease for specific insurance requirements.

    Please provide a certificate of insurance reflecting limits as specified in your lease and listing the Landlord and Cushman and Wakefield U.S., Inc. as additional insureds.

  • Vendor Insurance

    All contractors, subcontractors, suppliers, service providers, moving companies and others performing work of any type for Tenants at the property are required to carry insurance and show proof of coverage. Vendors are to supply the Certificate of Insurance to the Management Office via email to nlopreception@cushwake.com. Include the required coverage and name the Property Owner and Owner Representative as the certificate holder and as the additional insured. This must be provided at least 10 days prior to entry into the building. Renewal certificates must be provided at least 30 days prior to the expiration date of certificates previously on file in the Management Office. If a repeat Vendor is used, an automatic renewal is a convenient way for the Management Office to receive the updated certificate. The Vendor must check with the Management Office to confirm a current Certificate of Insurance is on file. For additional information on insurance coverage amounts and any other questions, please contact the Management Office at 952-921-2050.

  • Moving Procedures

    Moving and all necessary arrangements are the responsibility of the Tenant. The Management Office will assist in every way possible to make your move as easy and convenient as possible.

    To optimize communication and coordination between building management staff, the tenants, and the mover, the following steps should be followed whenever there is a move in or out of Normandale Lake Office Park:

    1. Please inform the Management Office of your moving contractor and have your agent call as soon as possible to discuss the proper moving procedures.
    2. Please schedule all moves with the Management Office at 952-921-2081 as soon as a moving date is known. The loading dock and service elevators are scheduled in the order they are requested. The loading dock and service elevator can be scheduled between 5:00 p.m. and 8:00 a.m. Monday through Friday, or anytime on Saturday or Sunday.
    3. All moves must take place through the loading dock only. All vertical transportation of furniture and equipment is to occur exclusively on the service elevator. Under no circumstances are passenger elevators to be used for this purpose.
    4. The Management Office must have a current Certificate of Insurance from the moving company being used before the date of the move. The Certificate of Insurance must name both the Property Owner, and the Owner Representative, Cushman and Wakefield U.S., Inc. Failure to submit a Certificate of Insurance will result in access being denied.
    5. The moving contractor personnel will need to provide a valid driver’s license to obtain an after-hours access card for the elevators. Security will keep the license on file until the access card is returned.
    6. The moving contractor is responsible for protecting all corridor wall covering, floors and carpeting with a covering of plywood or masonite at least one-fourth inch thick. All sections of masonite must be taped together to prevent sliding. Protect all corners and elevator door casings to avoid damage. All walls, door facings, elevator cabs and other areas along the move route will be inspected by Security prior and after the move. Any damage to the building or fixtures caused by the mover will be paid for by the moving company or Tenant responsible for the move.
    7. All moving equipment must have rubber wheels (i.e., dollies, two-wheelers, etc.).
    8. Please have at least one representative from your company supervise your move and the moving company’s activities throughout the entire move. Guard service is also required during any major moving. The charges associated with these services are the responsibility of the Tenant.

  • Smoking

    In accordance with the Minnesota Clean Air Act, all common areas, corridors, stairwells, restrooms and other public areas are designated as non-smoking. Smoking cannot occur anywhere on the interior of the buildings. A smoking area is available within each of the ramps for those who wish to smoke. The locations are listed below. Smoking is only allowed in these specified locations. Smoking anywhere on the grounds is not permitted. Please be respectful of the property and use receptacles provided versus discarding cigarettes on the ground. Also please do not extinguish cigarettes on the building or its exterior furniture or walls.

  • Tenant Alterations

    Please refer to your lease agreement prior to engaging contractors to perform work within your leased premises. Tenant lease agreements prohibit making alterations and additions to leased premises without the Landlord’s consent. To obtain information on approved contractors, please contact the Management Office. A written approval request must be submitted along with plans. Contractors, including subcontractors, who enter the property without a current Certificate of Insurance form on file in the Management Office may be delayed or denied access to the building until the Certificate of Insurance is obtained. See the Vendor Insurance section for requirements on the insurance certificate.

    Please note – all construction projects at Normandale Lake Office Park must be permitted with the City of Bloomington. Upon completion of any alterations to the suite, the building Master As-Built Plans must be updated with the building architect. This expense is the responsibility of the Tenant.

    Notice:
    The Landlord reserves the right to rescind or revise any of these rules and make other rules and regulations as, in its judgment, shall from time to time be necessary or advisable for the operation of the Building. Please also refer to the official Building Rules & Regulations that are made part of the original lease agreement. The Lease is a legally binding document, and further defines the Building Rules & Regulations should there be any further question to the content.

  • Parking

    Each of the buildings at Normandale Lake Office Park has a parking ramp connected to the building providing ample parking for Tenant’s employees and their visitors. Parking is on a first-come, first-served basis.

    Parking Access
    All parking garages are accessible 24 hours a day, 7 days a week via the main entrances located at:

    Visitor Parking
    Visitor parking is provided on the main levels of each of the ramps. Time limits are posted and monitored by on-site security staff. Please respect these limits.

    Main Entry Circles
    The main entry drive lanes require drop-off and pick-up use only due to these areas being fire lanes. Vehicles must not be left unattended. Security staff continually monitor these areas for compliance.

    Fire Lane Parking
    The City of Bloomington prohibits parking in all designated fire lanes. Due to the fire and life safety issues involved, vehicles left unattended in a fire lane for any amount of time may be towed at the driver’s expense. Park safely and observe all No Parking signs and notices.

    Handicapped Parking
    Parking, for those with a disability, is provided within each of the parking ramps. Tenants using these spaces are required to display the current form of authorization provided by the government. On-site security staff monitors for compliance. Non-compliance may result in ticketing by the Bloomington Police Department.

    Two-Hour Visitor Parking
    Two-Hour Visitor Parking is available in each of the parking ramps. Specified parking for Caribou Coffee at 8000 and Kincaid’s Restaurant at 8400 is provided. Tenants are not permitted to park in any of these visitor spaces for any length of time. Security personnel monitor these visitor spaces and will issue violations as needed.

    Extended Parking
    After business hours, parking is permitted. Please complete the Extended Parking Form which will be routed to Security. Vehicles remaining for long periods without notice to Security may be considered abandoned and are subject to towing at vehicle owner’s expense.

    Towing Services
    If your vehicle should need to be towed from the garage, please contact Security at 952-921-2201. Security will need to assist the tow truck when exiting the garage to prevent damage to the property or the vehicle. The Management Office will not allow vehicles to be towed or removed from the garage without authorization from the vehicle owner. References to towing companies can be provided by Security. The Management Office does not allow servicing of any kind to occur while the vehicle is parked on the premises.

    GARAGE RULES AND REGULATIONS
    The following are the general rules and regulations regarding the use of the ramps:

    • Use of Ramp
      The garage is to be used for the sole purpose of parking motor vehicles. Skating, skateboarding and soliciting are prohibited in and around the ramp facilities.
    • Speed Limit
      The speed limit posted on the property is five (5) mph in the ramps. Please drive safely and use your headlights for additional safety when driving through the ramps. Following the posted speed limit allows added safety for pedestrians in the ramps.
    • Parking
      Vehicles should park entirely between the marked lines of the space, facing into the space. Please observe all posted signs or notices and do not park in reserved spaces or areas that are not designed/marked for parking. Any vehicle parked in such a manner that is taking up more than one parking space is considered an improperly parked vehicle. No vehicle should be parked in a manner that obstructs traffic lanes.
    • Compact Parking
      Parking for compact vehicles is posted.  SUV’s and trucks are not compact vehicles. They do not allow others to see around your vehicle to make the turns safely.
    • Loading and Unloading
      All loading and unloading zones have been designated as such and are located in the dock areas. Delivery via the ramp, building main entries, or through the atriums is not permitted.
    • Automobile Damage/Personal Property
      In the event of a damage claim, notify Security immediately. An incident report will be completed, and an investigation will be performed to determine the cause of the claim. It is advised that the City of Bloomington Police Department be notified to complete a police report. Building Management and Security will not be held responsible for damage to vehicles or personal property.
    • Washing/Detailing/Maintenance
      Washing/detailing/maintenance services to vehicles are prohibited in the ramps with the exception of those car wash and detailing amenities provided at Normandale Lake Office Park. Please see the Amenities section of the website for details.
    • Vehicle Maintenance – Windshield Repair/Replacement
      Vehicles are not permitted to receive services while parked within the ramps. Any service vehicles found providing these services within the ramps or on the property will be asked to promptly leave when found.
    • Loss of, or Damage to, Property
      Landlord and its agents will have no liability to Tenant, its employees, agents, invitees of licensees for losses due to theft or burglary, or for damages or bodily injury incurred by authorized or by unauthorized persons in or on the parking facilities, nor will the Landlord be required to insure against any such losses, damages or bodily injury. Should theft or other crime-related incident occur, please file a report with the Bloomington Police Department and inform Security of the incident.

Building Security

  • Security Desk

    Normandale Lake Office Park has a 24 hour, 7 days a week security/information desk. You can reach our security desk at 952-921-2201. They are located in the lobby of the 8400 Tower. Should you wish to request an escort they are happy to assist.

  • Hours and Access

    Building Hours – 8000, 8200, 8300, 8400 and 8500 Towers

    • Monday through Friday – 6:30 a.m. to 6:30 p.m.

    Please check our restaurants for their specific hours (see Amenities tab). 

    After-hours access into the buildings is via an access card. This card will allow access into the building and the elevators.

    Building access can be obtained on the following levels of each parking ramp:

    8000 Tower – Level A & B
    8200 Tower – Level C
    8300 Tower – Level B
    8400 Tower – Levels A, B, C, D, E & F
    8500 Tower – Levels A, B, C & D

  • Deliveries and Loading Dock

    All deliveries are required to occur via the building’s loading docks. Normandale Lake Office Park loading dock entries are secured at all times. A two-way and closed caption television (CCTV) entry system with direct communication to the Security staff is located at each dock. Security staff screens access requests and will only provide entry to authorized building occupants, authorized guests, contractors, vendors, and delivery personnel. Please use the Authorized Vendor Access form to authorize guests, contractors, vendors and delivery personnel. Any deliveries with a duration of longer than 20 minutes must occur prior to 8:00 a.m. or after 5:00 p.m. Monday through Friday, or any time on weekends, and must be scheduled through the Management Office. Any after-hour moves require monitoring by Security. The cost of Security personnel is the responsibility of the Tenant. After hours is 5:00 p.m. to 8:00 a.m. Monday through Friday, and anytime Saturday and Sunday. Contact the Management Office for details.

    Short-term courier parking is available in or near the dock area. Deliveries by couriers, contractors and tenants are not permitted in the visitor parking areas, main building entrance areas, or in the parking ramp entries.

    Tenants are encouraged to instruct all delivery personnel to enter the building via the loading docks as towing, at vehicle occupant/owner’s expense, is strictly enforced. Please refer to the Moving Procedures section for additional information.

    Other Dock Rules:

    • Delivery vehicles may not leave motors running while parked at the dock.
    • Dock parking is limited to 20 minutes.
    • Service elevators must be utilized.

  • After-Hours Activity

    Tenants are to notify the Management Office of any after-hours activity occurring in their suites (i.e., vacating or occupying, deliveries, tenant coordinated construction/repairs, phone repairs and need for access into the building riser room(s), carpet cleaning, tenant events within the building or suite, etc.).  Management Office should be notified in writing at least 24 to 48 hours before activity. For the protection of our Tenants, individuals, contractors and vendors, requesting authorization to enter a Tenant’s suite after-hours without written authorization on file in the Management Office, will be denied entrance into the building.

  • General Office Security

    CRIME PREVENTION
    Normandale Lake Office Park’s Security is on duty 24 hours a day, 7 days a week. They can be reached during normal business hours by calling the Management Office at 952-921-2050. This number is forwarded to Security after normal business hours and Security will answer directly. They are available to assist with questions or concerns at all times. While this may be available to Tenants, crime prevention responsibility rests with every Tenant. Unless suite doors are found unlocked or there is reason to believe there is suspicious circumstances, security personnel will not enter the office suites.

    SECURITY CHECKLIST
    The following preventive measures will improve overall Security in your office environment. Please share this information with employees:

    • Park in a well-lighted, well-traveled area. When working late, walk to your cars in groups, with fellow employees or peers. The Security staff will provide escorts for your employees if needed. Please give the officers at least 15 minutes prior notice by calling Security at 952-921-2201.
    • Lock all valuables and important papers in the trunk of your car, or take these items with you. Do not leave valuables in plain view in the seat, floorboard, or on the dashboard of your car. (Examples: Radar detectors, CD cases, iPods, cell phones, luggage, shopping bags, clothes, wallets, money, etc.)
    • Take your building access card with you into the building or place it in an area inside of your vehicle that is out of plain view.
    • Promptly report all incidents of crime or theft to the Bloomington Police Department by calling 9-1-1 and Security by calling 952-921-2201.
    • Never leave your reception area unattended. If you must leave the office unattended, lock the doors, even if it is momentarily.
    • Never leave purses, billfolds, gift packages, jewelry, or cash in or on your desk or in your jackets if your office is unattended. Always lock or secure valuables.
    • Office petty cash should always be kept in your office safe. Do not disperse change to visitors or strangers as they may be trying to determine where your money is normally kept.
    • Secure laptop computers and make certain they are shut off when not in use.
    • Lock your desk when unattended.
    • Lock your office doors when working alone or after normal business hours, weekends, holidays, etc.
    • Please report and provide a description of all solicitors, peddlers, and suspicious persons to the Management Office or Security immediately. Door-to-door sales or solicitation is prohibited.
    • Monitor the movement of visitors within your suite. Question those you may not recognize. They may not be an employee.
    • Never allow access to anyone in the building with your access card or key.
    • Never loan your access card to anyone else.
    • Please safeguard your keys. Never distribute keys to individuals outside of your company.
    • Report any suspicious activity, no matter the issue, to Security at 952-921-2201 when it is occurring.
    • Inventory all of your office furniture, fixtures and equipment. Your inventory list should include a brief description of each item including the make, model number, serial number and approximate value. This information is instrumental in case of a theft.
    • Do not attempt to duplicate building keys except through the Management Office. Any other effort of duplication is prohibited.
    • Report all lost/stolen access cards to the Management Office immediately. Do not retain activated access cards without requesting deactivating access cards through the Management Office.
  • Emergency Notification

    Each Tenant is asked to complete a Tenant Contact form. This form will provide Security and Building Management with Tenant Contacts in case daily or after-hours emergencies or circumstances in question arise. Please resubmit the form immediately upon a change in personnel listed. All information on the form will be held in strictest confidence.

  • Lost and Found

    All items found by, or turned in to, the Management Office or Security are stored in the Management Office, 8400 Tower, Suite 1450. Please contact the Management Office at 952-921-2050 to claim items that have been lost or found in the building. Items not recovered after three months are either donated to charity or discarded.

  • Abandoned Property

    The abandoning of personal property, furniture, equipment and fixtures within the leased space or common areas of the building, including the dock areas, is strictly prohibited. Violators will be subject to any and all handling, storage and/or removal costs incurred by the building owner.

    Procedure for Removal of Tenant’s Property After-Hours
    Tenant is required to notify the Management Office at least 48 hours prior to commencing any move-out or removal of personal property, equipment, furniture or trade fixtures from Tenant suites and the building.

    Be advised that if Management or Security personnel become aware of any unauthorized removal or move-out activity, the Tenant will be asked to halt such activity until Management or Security personnel are able to confirm the activity with the Tenant representative on record. If authorization is unable to be confirmed, Tenant shall cease the move-out activity and will be required to comply with the move-out or removal notification described herein.

  • Soliciting

    For the convenience and protection of our Tenants, soliciting, selling, petitioning and posting of signs is strictly prohibited. If a Tenant observes any of these activities in the building, please inform the solicitor that such activities are not permitted in the building and notify the Management Office immediately at 952-921-2050. Once notified, Security will attempt to locate and escort the individual(s) from the premises. If possible, secure a business card from the solicitor and we can follow up with them.

  • Telephone Room Access

    Access to building telephone rooms must occur Monday through Friday between the hours of 7:00 a.m. and 4:00 p.m. and is requested through the Management Office. The only exception is in the case of an emergency. Access will be provided based on availability of the Building Engineer. Only the engineering staff are allowed to provide access. The attached form must be completed by the Tenant and Vendor at least 24 hours in advance. Access may be denied without properly supplied information from the Tenant and Vendor.

  • Propping Doors

    Tenant entrance doors and electrical and phone room doors may not be propped in accordance by the City of Bloomington’s Fire Code. Once access has been granted to a room, all Vendors/Tenants are not to prop open any door. If a door is propped open, the door will be closed and you will need to call to gain access.

  • Newspaper Deliveries

    All newspapers must be delivered directly to the Tenant’s suite. It is the Tenant’s responsibility to pick up your company’s newspaper each day. Any newspapers found in the building common areas after
    10:00 am will be discarded.

Building Construction Regulations

  • Construction Regulations

    As construction work occurs at Normandale Lake Office Park, please conform to the following regulations. Definitions of those involved are as follows: Manager is the Normandale Lake Office Park Project Manager and/or Superintendent and/or Normandale Lake Office Park Property Manager. Tenant is the Tenant where construction is being performed. Contractor is the Contractor, Contractor’s agents and/or subcontractor(s) and its employees performing the work.

    • PARKING – Contractor is prohibited from parking on the loading dock. By way of requesting entry through the dock entry system, Contractor or Contractor’s agents must notify Security of vehicles that will be left unattended on the loading dock during a delivery. Vehicles parked in violation will be subject to towing at owner’s expense.
    • CONSTRUCTION PERSONNEL BUILDING ENTRY – Construction personnel must enter the buildings through the dock areas of each respective building and must use the service elevator, not the passenger elevators, only. All after-hours work must be arranged through the Project Manager and/or Superintendent with Property Management. After-hours work consists of any work scheduled prior to 8:00 a.m. or after 5:00 p.m. Monday through Friday or on weekends. Should an access card be issued to contractors by Security, a driver’s license will remain with Security until which time it can be exchanged for the access card the same day work is being performed. Security may be reached by calling 952-921-2201 (24 hours a day, 7 days a week).
    • DELIVERIES – Material deliveries may be made prior to 8:00 a.m. or after 5:00 p.m. Monday through Friday or during weekends. Deliveries must be coordinated through the Project Manager or Superintendent who will verify availability of docks and approve delivery times. Material deliveries are not permitted at any building entry except the dock. Materials must not encumber or obstruct any common areas of the building and must be stored within the construction area immediately. Use of the passenger elevators is strictly prohibited in all buildings.
    • BUILDING CLEANLINESS AND SITE COURTESIES – Contractor is responsible for their personnel and clean-up of all construction-related work. Alcoholic beverages, controlled substances and smoking are prohibited within the buildings. Smoking may only occur in the designated smoking area within each building ramp. Locations are noted within this web site. Smoking is not allowed in dock areas. Eating is only allowed within the job site construction area. It is not permitted in any other area of the building(s) or Park. Food refuse must be removed daily. It cannot be disposed within the construction debris. Language likely to be offensive to others, whether Tenants or Building Management, will not be tolerated. Contractor must be appropriately dressed; no t-shirts with offensive pictures or slogans, no bare chests, cut-off tee-shirts or tattered pants.
    • DUST CONTROL – Dust and air contamination is to be controlled with temporary partitions, which are sealed adequately to prevent dust from entering leased areas or mechanical equipment. Floor sweep or a comparable material will be used when sweeping concrete or tile floors.
    • COMMON AREA PROTECTION – The Contractor is to protect all the existing common areas of the property with items that come in contact with the common areas such as transporting materials. Any carpet, door frames, wall coverings, stone/marble, corridor corners, and other common finishes must be protected when deliveries occur. While construction is occurring, carpets in construction traffic areas must be covered in walkable plastic to eliminate damage. Electrical cords are not to be strung across common corridors where they would cause inconvenience or hazard to Tenants or others. Any damage caused by the construction will be the responsibility of the Contractor for replacement. Every doorway inside a construction job site must include a walk-off mat to protect the common areas from debris.
    • FLOOR PENETRATIONS – All floor x-rays and floor drilling must be prearranged through the Property Manager 24 hours in advance and must occur before or after business hours or on the weekends. Property Manager will survey existing Tenants as to timing restraints, and Contractor will work with Property Manager to define appropriate times. All penetrations of piping, ductwork, conduits, etc., must use code-compliant seal to the Property Manager’s satisfaction to maintain the integrity of the fire rating. Any holes in walls or partitions made by the Contractor will be patched and repaired to Property Manager’s satisfaction.
    • NOISE AND INCONVENIENCE – Radios or any other noise-related electronics may not be played while on site. Loud talking will also not be tolerated. Any work that results in noise that inconveniences those trying to conduct office business must be scheduled prior to 8:00 a.m. or after 5:00 p.m. Monday through Friday or on the weekends. Likewise, any processes including fumes or vapors must also be scheduled during these hours with proper ventilation scheduled to coincide with this work. Property Management or Security has the ability to determine whether noise or smells are causing issues and has the authority to make a change to resolve the issue.
    • RESTROOM USE – Use of the restrooms will be designated by the Project Manager or Superintendent prior to the construction job commencing. Arrangements for cleaning will occur between the Project Manager or Superintendent and the Property Manager prior to the job commencing.
    • ELECTRICAL AND TELEPHONE ACCESS – The electrical and telephone rooms are to be kept clean and orderly at all times. All debris must be cleaned daily. Floors must be swept clean. Access must be obtained through Property Management’s Building Engineer only. These rooms cannot be used as storage for tools or supplies. Doors must not be propped or remain open during the course of a day. Tenant equipment must not be installed in electrical and/or telephone rooms. All panels are to be replaced and labeled upon completion of the work. All penetrations through floors, walls and ceilings are to be sealed in accordance with code to maintain the integrity of fire rating.
    • SPRINKLER/FIRE ALARM SYSTEM/SMOKE DETECTORS – All work involved with the sprinkler system, fire alarm system, and/or smoke detectors is to be performed by a Contractor that is certified by the authorized representative of the manufacturer of the equipment. Sprinkler system work requiring a complete drain down of the sprinkler system must be scheduled with Building Engineering before any work can be done. A report is required stating that the system has been properly installed, adjusted and tested. While construction is occurring, the Contractor is to take precautions with existing fire alarm systems, and if any sprinkler modification work is required, the system will be in operation at the end of any given work day. Engineering is to be informed to fill the sprinkler system and Security will be notified each morning of the location and type of sprinkler work to be performed.
    • EXISTING BUILDING SYSTEMS – Contractor is to maintain the existing plumbing, heating and air conditioning, fire protection and other existing systems and maintain the existing functions in service except for scheduled disruptions. Any and all disruptions with the systems are to be arranged through Property Management and/or Building Engineering.
    • HEATING & AIR CONDITIONING (HVAC)/ELECTRICAL – Mechanical and electrical shop drawings must be reviewed and approved by Property Management’s Building Engineer prior to starting the job. All panels and transformers are to match the building standard system. All materials and methods used to connect panels and transformers are to match the building standard systems and must be approved by Building Engineer. Contractors must label all circuits and panels to match building standards. Contractor is to include the cost to balance the building HVAC system with a NEBB or AABC certified mechanical contractor. A complete air balance report and mechanical As-Built drawings are required upon completion. Contractor is to provide Property Management with a copy of the air balance report from a certified mechanical contractor within 10 days of tenant occupancy or of the completion of the work, whichever occurs sooner.
    • REUSABLE MATERIALS – Contractor will review with the Project Manager and/or Superintendent those materials that will be returned to building stock prior to any construction beginning.
    • MATERIALS STORAGE FOR SAFETY/CLEANING/TRASH REMOVAL – Storage in the common areas is prohibited. The Contractor must keep a clear path within the job site to allow for emergency evacuation. Final clean up is the responsibility of the Contractor to include all vacuuming and dusting. Property Management or their contractors are not responsible for construction cleaning. Trash removal is the responsibility of the Contractor. Removal may occur before 8:00 a.m. or after 5:00 p.m. Monday through Friday or on weekends as scheduled through the Project Manager or Superintendent. The Contractor is prohibited from using any building trash receptacles or compactor(s).
    • SPACE PUNCHLIST – The Contractor must complete a final punchlist prior to Tenant occupancy. If for any reason there are outstanding items, the Contractor will notify the Tenant to arrange completion that complies with the Tenant. At no time after the Tenant’s occupancy or completion of work will the Contractor arrive unscheduled for work inside the Tenant space.
    • COMPLIANCE – The Contractor must comply with these Regulations. Failure to do so could result in the violator being removed from the property. Continued violations could result in the Contractor being removed from the property and all contracts cancelled.

Building Services

  • Service Requests

    If you are a designated contact person for the Management Office, you will be given log-in capabilities to submit Service Requests. Tenant Service Requests may be submitted by logging on and clicking the Create Service Request tab.

    Please note that the online Service Requests are not monitored 24 hours a day. Leaks, flooding, odors, etc. should be called into the Management Office immediately by calling 952-921-2050.

  • Cleaning

    The cleaning contractor provides base building cleaning services to the Tenants. The cost of these base services is part of the services provided by the Landlord. More specific information pertaining to cleaning is in your lease agreement. Cleaning services over and above base building cleaning can be performed by the cleaning contractor at the Tenant’s expense by calling the Management Office at 952-921-2050.

    Janitorial services are provided Monday through Friday. Listed below is a brief overview of services that are provided routinely:

    • Mop all tile flooring in office spaces as necessary, not less than twice a week.
    • Vacuum carpeted areas (rugs), moving light furniture other than desks, file cabinets, etc.
    • Sweep and wash restroom and shower room flooring. Wash and polish mirrors, clean toilets (including seats, piping, hinges), urinals and basins.
    • Empty wastepaper baskets, receptacles, etc.
    • Clean side light glass as necessary.
    • Clean all sinks and countertops in kitchens, checking under sink areas for trash and cleaning as necessary.
    • Spot clean all partitions and partition glass.

    In the event services are not to your satisfaction, please do not hesitate to report issues through your office contact person who will place a Work Request through the website so that we may respond to your needs in an efficient and effective manner. On a periodic basis, the Cleaning Supervisor will solicit your comments on the cleaning performance which is then forwarded to the Management Office. Please be explicit in your evaluation, as this is a tool to help everyone. The Cleaning Contractor is also available to provide additional services such as carpet extraction and tile floor stripping and waxing. Please call the Management Office to obtain pricing for these services at 952-921-2050.

  • Trash

    Tenants are asked to refrain from placing trash, boxes, discarded office equipment, etc. in common areas of the building (i.e., corridors, stairwells, passenger and service elevator lobbies, restrooms, docks, etc.). Unused or unwanted items that are to be discarded and do not fit into a trash container must be marked as “trash.” Janitorial staff will not discard items if they are not identified in this way.

    Tenants are responsible for removing their own unwanted electronics, equipment and furniture. Contact the Management Office for recommendations on possible companies to assist in this process.

    For regular types of trash, please affix a self-adhesive trash sticker which can be obtained by calling the Management Office. Items marked as “trash” will be removed from Tenant spaces during regular nightly cleaning. If you need items to be removed during the day, Monday through Friday, please place a Service Request.

  • Recycling

    Daily Recyclable Collection Routine:
    NLOP participates in a co-mingled recycling program designed to allow maximum recycling of office waste.  The process entails retrieval by cleaning staff (nightly) of recyclable materials from centrally designated collection bins at the tenant’s suites. The recyclables are then consolidated for pick up by the service handler.

    Note that clear bin liners will be used to monitor the quality of the recyclable materials, while the black liners are used for trash.

    Tenants are asked to refrain from placing trash, boxes, discarded office equipment, etc. in common areas of the building (i.e., corridors, stairwells, passenger and service elevator lobbies, restrooms, docks, etc.). Unused or unwanted items that are to be discarded and do not fit into a trash container must be marked as “trash.” Janitorial staff will not discard items if they are not identified in this way.

    In addition, recycling that doesn’t fit in the bins must have a recycling sticker affixed to the item. Otherwise it will not be removed. Recycling stickers can be obtained by calling the Management Office or sending a Service Request.

    Electronics: Tenants are responsible for removing their own unwanted electronics, equipment and furniture. Contact the Management Office for recommendations on possible companies to assist in this process.

    Printer Cartridges: When recycling printer/toner cartridges, bag cartridges to prevent residue and staining from occurring and place a Service Request to the Management Office during normal business hours and a staff member will pick it up for you.

    Plastics: Recyclable plastic usually comes with a little recycling symbol printed on the bottom and depending on the product, there might be a 1, 2, 5, stamped in the center of the symbol. It’s easy to miss, but this tiny digit is important, because it’s an ID.

    All bottles and containers must be rinsed and clean from any liquid or food. Break down any large items. Flatten cardboard and boxes.

    Batteries: These can be collected for recycling by placing a Service Request when pickup is needed.

    If security of proprietary documents is a concern for your business, please consider shredding all sensitive material. The recycling company receives material to be recycled in a controlled, enclosed environment.   • Suite Keys and Building Access

    Suite Keys
    All Tenant suite key requests must be requested through the Management Office and will be performed by the Building’s Engineer. If additional locks or keys are needed, please contact the Management Office. Tenants are not authorized to make duplicate suite keys.

    All dispersed keys are the responsibility of the Tenant. In the event keys are lost or misplaced or if you desire to have the suite entry changed, please contact the Management Office at 952-921-2050 to make arrangements. All locksets must be keyed to the building master key system to permit access to all areas of the building by the Property Management personnel or other officials in the event of a fire or other emergency.

    Prior to any work occurring, the Tenant must sign an approval form acknowledging costs associated with the work and will be the responsibility of the Tenant. An estimate of this work will be provided within this authorization. All costs associated with keys, re-keying, or additional locksets will be billed separately to each Tenant.

    Access Cards
    For the protection and safety of the Tenants in Normandale Lake Office Park, an electronic card access system controls and monitors off-hour access to the building, limited areas of the parking ramp, and elevator access to floors.

    Access is by an access key during the following hours:

    The Management Office issues access cards that are assigned to specific employees. Each employee is responsible for his/her own access key. Transfer of access cards among employees is prohibited; you must inform the Management Office of this change.

    If an employee does not have an access card with them, access to their suite will be denied unless a Security Officer receives permission from the person(s) designated on the Emergency Notification List.

    If an employee loses his/her access card, please report it to your office manager immediately to ensure the security of the building and all tenants. Contact the Management Office immediately at 952-921-2081. When an access card is reported lost or stolen, it is immediately deleted from the computer system, rendering it useless for future access. Should cards be held with the Tenant for any reason, please make certain they are deactivated until re-issued to a new user. Contact the Management Office to deactivate the access card. Replacements may be obtained from the Management Office at a nominal fee per card, current rate is $15.00.

  • HVAC

    Building HVAC Hours

    • Monday through Friday (except Holidays) – 8:00 a.m. to 6:00 p.m.
    • HVAC services will be provided on Saturday – 8:00 a.m. – 12:00 p.m. upon specific request at no charge.
    • Sunday – Off

    Overtime heating or air-conditioning is available at your request for an additional charge. Please make your request as far in advance as possible, but not less than 48 hours. You may call the Management Office for details at 952-921-2050.

  • Elevators

    For your safety and convenience, as well as prevention of damage to the elevators, please utilize the service elevators when using carts, dollies, etc. These types of equipment are strictly prohibited from entering the passenger elevators. To ensure minimal delays, Tenants are asked not to use the service elevators for non-delivery floor-to-floor travel. Please use the passenger elevators only. Your cooperation is greatly appreciated.

    All elevators are equipped with an emergency intercom system that is directly connected to the elevator monitoring company. All elevators are identified with a number posted on or in the elevator panel door. When reporting information regarding an elevator, please refer to the number of the elevator and the specific tower (8000, 8200, 8300, 8400 and 8500). Please report any undue delays or concerns regarding the elevators to the Management Office at 952-921-2050.

    All elevators at Normandale Lake Office Park operate from 6:30 a.m. to 6:30 p.m., Monday through Friday, excluding holidays. You must use your access card to obtain access to any floor after hours and on the weekends.

    From each floor’s elevator lobby, the service elevator is the most northeast cab among the six elevator cabs.

    8300 TOWER
    From the dock, go left out the wood door and to the elevator lobby.
    The service elevator is the last cab on the right.
    From each floor’s elevator lobby, the service elevator is the most southeast cab among the five elevator cabs.

    8400 TOWER
    From the dock, follow service corridor to the furthest point and the service elevator is at the end of the hall.
    From each floor’s elevator lobby, the service elevator is in the northwest corridor next to the north building stairwell.

    8500 TOWER
    From the dock door, use the elevator immediately inside dock area. Go down one floor to the service corridor and follow the service corridor to the tower service elevator. From each floor, find the service elevator directly across from the restrooms on each floor.

    Directory
    All Tenants who office at Normandale Lake Office Park are listed on the directory located in the lobby of each building. Changes or additions to the directory systems can easily be coordinated through the Management Office. Please submit your request by completing the Tenant Suite/Directory Form.

    Suite Signs
    To order a suite sign, please complete the Tenant Suite/Directory Form. Company logos are permitted on the suite signs and should be submitted in an .eps format to Renee Hoy.

    Signage takes approximately 3-4 weeks to receive and install. More specific information about signage costs, style, etc. can be obtained by calling the Management Office at 952-921-2081.

    Signs Prohibited
    Paper signs, decals, posters or advertisements are not allowed to be posted in the building corridors, windows or on doors. This also includes tenant suite door and side light windows.

  • Handcart/Two-Wheel Carts

    This service is offered to provide a means for your company’s employees to unload boxes or packages from their vehicles at the dock. Service elevators must be used for deliveries to your suite. Please remember that handcarts and dollies are NOT permitted in the passenger elevators or the building lobbies.

    To request the use of a handcart/two-wheel dolly, Tenants must contact the Management Office through Work Request. Please contact the Management Office for cart pick-up immediately after use so it is available for others to use thereafter. If using beyond the Management Office hours, please inform Security at 952-921-2201.

  • Mail Service

    U.S. mail is distributed by a postal employee to mail centers at each building. Mail delivery and pick-up times vary, so please check the posted schedule for exact times. For security purposes, tenants are requested to refrain from placing outgoing mail on the floor beneath the mail drop areas. All outgoing mail should be inserted into the appropriate drop box. Lock box numbers are assigned by the Post Office.

    Mail Pick-up: The building’s central mail station is located on the first floor/lower level of the building. Regular mail is delivered to this central station and placed by the postman in the lock boxes provided for each suite by approximately 11:00 a.m. Keys for the lock boxes are issued by our office (engineers) at the time of move-in. Articles too large to fit in the tenant’s lock box should be picked up at the Post Office door.
    Outgoing Mail: An outgoing mail drop box is located on the first floor/lower level of the building. Daily pick-up time is scheduled for 1:00 p.m. and 4:30 p.m., Monday through Friday. Please do not leave mail or mail containers in the common areas of the building, to include outside the mail room doors. The management company nor the property owner is responsible for lost items left in these areas.

  • Lights

    Please report burned out lights by submitting a Service Request. Maintenance personnel will be sent to replace the burned out bulbs. There is no charge to replace building standard light bulbs. Any specialty bulbs will be invoiced to the Tenant. Please remember to turn off lights to conserve energy.

    When a fluorescent tube is blinking or has gone out, it is not always the tube but rather the ballast that needs replacing. Since many fixtures are directly over desks and in high-traffic areas, a program is implemented where an electrician enters your space to change ballasts. Depending on the number of ballasts reported to the electrician for a particular day, the electrician will change as many as possible in the order they were reported.

  • Tenant Appliances in Suites

    Tenants are responsible for the maintenance of all appliances inside their suite including TV’s, VCR’s, ice machines, refrigerators, dishwashers and kitchen drain lines. For fire safety reasons, space heaters and extension cords are not allowed in the buildings. If you are experiencing temperature problems, please submit a Work Request.

    The Maintenance Department will be happy to refer you to service professionals who can service your appliances or equipment. All Contractors and Service Providers working in the building must have a current Certificate of Insurance on file in the Management Office. A sample Certificate of Insurance form reflecting the insurance requirements can be obtained by contacting the Management Office.

    Please note that any Contractor without the proper insurance coverage, as requested, will not be granted access to the building.
